Human Resources, Payroll and Benefits Coordinator (Maternity Replacement Contract)

The Role

Cineflix Media is currently looking to fill the position of Human Resources, Payroll and Benefits Coordinator. This is a maternity leave replacement contract that will begin in August 2025, for approximately 13 months, based in our Montreal office.

The Human Resources, Payroll and Benefits Coordinator’s main responsibility is coordinating payroll and employee benefits for all corporate offices (Montreal, Toronto, NY, London and Dublin). The Human Resources, Payroll and Benefits Coordinator will also be responsible for other HR tasks, such as ensuring corporate compliance and data integrity. This role reports to the SVP, Human Resources.

 Duties and Responsibilities

 Benefits:

  • Coordinate the onboarding/offboarding of employees from all benefits plans across regions, as well as manage updates after any plan-wide changes.
  • Responsible for providing benefit plan information to employees, to payroll and to managers.
  • Assist with employee benefit renewals (ex: Create year-over-year comparative premium cost reports)
  • Download and process monthly benefits invoices for our North American offices.
  • Process bi-weekly RRSP payments and changes to FTQ RRSP+ payments, as needed.
  • Research and set up new benefit plans as required.

Payroll coordination:

  • Communicate monthly payroll changes to the payroll administrators across regions.
  • Administering Canadian Workers Compensation Plans accounts
  • Submitting all North American year-end tax forms for Corporate entities
  • Assists with fiscal year-end reconciliation with Finance team, as needed.
  • Communicate with payroll companies to ensure compliance with government notice/request letters.

 Compliance:

  • Research and stay up-to-date with upcoming legal requirements for all offices, and implementing as needed.
  • Ensure Health & Safety compliance for all office.
  • Provide support to internal teams for time-urgent translations for emails, newsletters and documents.

Data integrity:

  • Maintain HRIS database and internal summary sheets; ensure that all payroll and employee information are correctly recorded in HR data systems.
  • Ensure accuracy of service provider renewal agreements and records (for benefit plan and pension scheme providers etc.).

Other Responsibilities:

  • Employee training: Responsible for setting up employee training courses. Keep track of Bill 90 requirements, various reporting, budgeting, and updating training logs for WSDRF.
  • Filing: Sorting all physical employee files and ensuring all documents are saved electronically before being disposed securely.
  • Research any HR matters, as needed.
  • Assist in drafting or editing company policies.
  • Provide on-demand customized Excel reports for the company’s needs.

The Person

  • French Fluency Required
  • 3+ years of Experience in a prior HR Coordinator Role (preferably with exposure to payroll, finance and benefit management)
  • Extremely organized and detail-oriented
  • Able to prioritize and meet deadlines
  • Intermediate Excel skills
  • Good communication skills
  • Inquisitive nature
  • Quick Learner
